Importing Time Blocks from Outlook Calendar into Intervals

Some teams use their Outlook calendars to track time throughout the week. While Intervals doesn’t currently integrate this deeply with Outlook calendars, there is a helpful workaround that can save time and reduce manual data entry.

Why this matters

A longtime consulting customer reached out with this challenge:

"Our team logs time in Outlook calendars. Then on Mondays, we manually enter that time into Intervals. A direct link between Outlook and Intervals would save us a TON of time."

The Workaround

Until a direct integration is available, here’s an approach that worked for one of our support team members — and it might work for you too.

  1. Export Your Outlook Calendar to Excel/CSV
    You can export your Outlook calendar to a file that opens in Excel.

  2. Prepare the File for Import into Intervals
    Once you’ve exported your calendar:

    • Add a “Time” column by subtracting the start time from the end time.
    • Fill in required Intervals fields:
      • Person
      • Module
      • Work type
      • Description
    • Clean up column headers to match Intervals’ time import format.

  3. Import Your Time Entries into Intervals
    Use the Time Import Tool to upload your formatted file. Make sure to preview the import to confirm everything looks correct before finalizing. This process can cut time entry down to a few minutes.
